General Ledger Information

How to interpret your General Ledger (GL)

  1. A GL Number is structured like this (21-5WAAA-BBBB)
    • 5WAAA-  This 5 digit number is the Unit, every club or organization will have their own unit number, likely structured in (5WAAA). While each line in Colleague will have its own balance, the overall unit display will show the financial standing of the club/org.
    • BBBB- This 4 digit number is the object code, and student accounts will be structured as follows:
      • 3000 Carryforward: This is the remaining funds for that account at the end of previous Fiscal Year
      • 4800 Other Income: This is where income earned through fundraising or any other non-LSA funds will post.
      • 6260 Student Organization Expenses: This is the expense line where any spending out of these accounts will post.
      • 9200 Transfers: This line will be what is used to move student activity fees into the student organization.
  1. Balances will show in the Grand Total at the bottom in Colleague/SAGE under the Remaining Balance Column. Actuals read more like a Credit Card Statement than a Checking account, where negative numbers are the account being credited (Money In) and positive numbers are the account being debited (Money Out).
